When a client provides a specification, a technical brief, an email or even an initial request, not everything required for engineering is necessarily fully defined. A key part of engineering work is therefore to understand what is actually required, which constraints are mandatory and which points must be clarified before design starts.
1. Separate needs, constraints and solutions
The first step is to distinguish three levels that are often mixed together:
- need: what the client must achieve;
- constraint: what cannot be changed;
- solution: how the objective will be achieved.
A client may request a specific geometry when the real requirement is related to footprint, flow rate, strength or cycle time. Understanding the underlying requirement often allows better engineering choices.
2. Turn requests into measurable requirements
Effective specifications must be verifiable. Words such as “robust”, “compact”, “easy to assemble” or “fast” help communicate intent, but they are not enough for engineering. Wherever possible, they should be converted into measurable parameters.
“The machine must be compact” can become: maximum footprint 1200 × 800 mm, maximum height 1800 mm, with front maintenance access.
3. Identify missing information early
Before modelling starts, it is useful to build a list of missing information. In mechanical and industrial projects this often includes loads, operating conditions, materials, interfaces, tolerances, available space, environment, maintenance requirements and applicable standards.
4. Understand client priorities
Not all requirements carry the same weight. Some projects are driven by cost, others by lead time, safety, ease of assembly, compactness or the use of standard components already adopted by the client.
5. Check interfaces
Many issues originate not in the individual component but at the interfaces: connections, dimensions, clearances, assembly sequences, wiring, piping or adjacent structures. These dependencies should be identified from the beginning.
6. Formalise what has been understood
After the initial discussion, summarising the main requirements in a shared document or matrix is highly effective. Even a simple list containing requirement, source, priority, owner and clarification status can prevent later revisions.
7. Ask questions before drawing
The quality of the design depends partly on the quality of the questions asked at the beginning. Clarifying requirements does not slow the project down; it often prevents hours of work based on incorrect assumptions.
It is better to clarify one more requirement at the beginning than to manage a structural change late in the project.
